Car Rentals

All vehicle rentals must be charged on a state liability travel card, or UNO's CBA.

Renting a vehicle will be approved if it is the only or most economical means in which the purpose of the trip can be accomplished. Approval of vehicle rental is documented on a traveler's Workday spend authorization form. 

The state has contracted with Enterprise, National, and Hertz for in-state and out-of-state vehicle rentals. Compact or Intermediate vehicle classes are allowed, unless non-availability is documented, the vehicle is used to transport two or more persons, or necessary equipment is being transported.

The rental company’s corporate number must be used at the time of booking to ensure the state rate is charged and the damage waiver and liability insurances are included.  Additional insurances not included with the state contracts or fuel options / services are not allowed. 

Louisiana rentals are state sales tax exempt. Using the company’s corporate number will remove state sales tax from the purchase. It is the traveler’s responsibility to ensure state sales tax is removed when the vehicle is returned. 

Reservations are not to be made at an airport location for daily routine travel, as this will add unnecessary cost to the rental.

Gasoline Reimbursement: 
A traveler can be reimbursed for regular, unleaded gasoline costs only when renting a vehicle. Original, itemized receipts are required for this reimbursement. Each receipt should show the number of gallons purchased and the price per gallon. Enter the amount spent on gasoline in the miscellaneous field of the travel voucher, then describe the expense in the Explanation field at the bottom of the form. Refer to the pre-paid fuel options before utilizing this service.
