Production Coordinator

POSITION SUMMARY: Coordinate the production of all publications, brochures and print materials deemed necessary by the University and produced through the Office of Communications, Public Relations and Marketing. Act as the primary contact between the department and commercial vendors for the coordination of the production of publications and other print materials. Write the bid and bid specification for all print production and coordinates these requests with purchasing and the vendors.

RESPONSIBILITIES:

Print materials: Coordinate the production of all publications, brochures and print materials deemed necessary by the University and produced through the Office of Communications, Public Relations and Marketing.  Inclusive in these duties is the design and production of promotional and/or print materials.  Provide assistance to University colleges, department faculty and administrators regarding their publications needs with recommendations, format and jobs specifications for publications. Contribute to the selection of all stock and ink for all publications and print materials.

Act as the primary contact between the University and commercial vendors for the coordination of the production of publications and other print materials.  Prepare all job specifications for bid requests from commercial printers and arranges pick-up and delivery.  Establish and maintain the master schedule for the preparation and printing of all publication and print materials and coordinate the production of materials within the division and track the flow of all work specifications and budget limitations.  Also, ensure that accurate and complete files are maintained for all projects.

Bids and bid specifications: Write the bid and bid specification for all print production and coordinates these requests with purchasing and the vendors. Maintain master file of all contracts with vendors and ensure that the file is updated and or contracts written and processed in a timely manner, including billing, requisitions and interdepartmental transfers.

Special projects: Consult on and/or manage special, short-term or one-time projects as directed by supervisor and requested by the University. Such projects may include typesetting, layout and design of promotional pieces or publications, editing, proofreading, arranging programs, conferences, etc.

Work with and assist other members of the department personnel in the performance of departmental duties to insure projects are completed in a timely, efficient and professional manner. Provide assistance as needed or directed in carrying out the mission of the department.  Responsible for ordering office supplies and maintaining contracts with suppliers to the department, and other duties as directed by the supervisor.

Must be: Creative, organized, deadline-driven, enthusiastic and able to articulate the mission of the University in print and online graphic design and have the ability to work independently, as well as part of a team. Ability to handle constructive criticism and client preference in a professional manner.

REQUIRED QUALIFICATIONS:  

Bachelor's degree

A minimum of 3 years of experience. Experience on a Mac using design software including but not limited to: Adobe Creative Suite (CS5 and above). Experience with HTML and CSS as well as various social media platforms (Facebook, Twitter, YouTube, Flickr, etc.). Demonstrative knowledge of core design concepts.

Also required are organization and communications skills, and knowledge of graphic production processes.

DESIRED QUALIFICATIONS:

Master's degree

2 years of professional experience in the printing industry

SALARY: Up to $45,000 and commensurate with experience and qualifications
